Description
You will coordinate travel and immigration for staff and visiting faculty across ALU's locations, including work permits, visas, relocation support, and travel planning. You'll ensure compliance with policies, track documents, and resolve travel-related issues to enable seamless movement.
Requirements
- Bachelor's degree in Business Administration, Hospitality Management, or related field preferred.
- Proven experience in travel coordination or a similar role.
- Strong organisational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in travel booking software and Google Enterprise Suite.
- Ability to handle multiple tasks under pressure.
- Attention to detail and accuracy.
- Problem-solving and critical thinking skills.
- Experience in a fast-paced university environment is a plus.
Responsibilities
- Provide immigration advice and facilitate work permit and visa applications for staff and guests.
- Monitor visa expiry and immigration status changes, ensuring compliance.
- Develop and distribute letters of invitation for visiting faculty.
- Provide relocation support for staff moving to Rwanda and Mauritius.
- Coordinate flights, accommodation, transportation, and travel insurance.
- Maintain travel records in the Travel Tracker system.
- Review and approve travel expense reports.
- Assist staff with travel disruptions or emergencies.
- Ensure compliance with travel policies and immigration regulations.
- Maintain confidentiality and data protection.
