Description
You will provide high-level administrative and operational support to CAPS leadership, managing complex calendars, travel logistics, expenses, and confidential documentation. You'll also support leadership meetings, track action items, and assist with CAPS operations to keep the organization running efficiently.
Requirements
- Experience supporting multiple senior-level executives (VP or above), preferably in gaming, entertainment, or tech.
- Demonstrated experience supporting leadership meetings and tracking executive-level action items.
- Superior written and verbal communication skills.
- Highly organized with ability to manage competing priorities across multiple senior stakeholders.
- Deep familiarity with corporate travel, expense, and administrative workflows.
- Experience working with creative production, studio, or agency environment.
- Familiarity with project management tools (e.g., Asana, Jira).
- Expert-level proficiency in Google Workspace and expense management systems (e.g., Concur).
- Exceptional emotional intelligence, discretion, adaptability, and composure.
- Proven ability to handle highly sensitive information with integrity.
Responsibilities
- Orchestrate complex, high-volume calendars for multiple senior leaders, prioritizing meetings based on business urgency.
- Manage end-to-end domestic and international travel itineraries.
- Handle expense report reconciliation and department invoices.
- Attend high-level leadership meetings to capture notes, decisions, and action items.
- Support CAPS leadership forums, including staff meetings and cross-functional reviews.
- Assist in preparation and organization of CAPS leadership decks and materials.
- Coordinate executive- and agency-facing meetings, including scheduling and logistics.
- Track action items, deadlines, and follow-ups across leadership initiatives.
- Lead or support planning and execution of CAPS-wide internal events.
- Act as liaison between CAPS leadership and internal/external partners.
- Identify and implement administrative workflow improvements.
